How to choose an auto dialer: a practical checklist
Auto dialers are sold with long feature lists, but the right choice usually comes down to a handful of practical questions about how your team actually works. Answer those first and comparing providers becomes much easier.
This checklist is general advice for evaluating any auto dialer, including ours. Where something depends on a specific platform, we say so, and recommend you confirm it directly with the provider before committing.
General information only, not legal advice. Calling rules differ by location; check those that apply to you and your recipients.
1. Start with your calling workflow
Describe a normal calling session in plain words: who calls, who they call, what a good call sounds like and what happens after. A team of two following up on warm enquiries needs something very different from a larger team working through a big outbound list. Providers can only tell you whether they fit if you can describe the job.
- How many people will be calling at the same time
- How long a typical conversation lasts
- What you record after each call
- Whether calls are outbound only or also inbound
2. Look honestly at your contact lists
A dialer makes a good list faster and a bad list worse. Before choosing a tool, check where your contacts came from, whether they agreed to phone contact and how old the data is. Plan how you will upload lists, remove duplicates and keep them current.
3. Make opt-outs and do-not-call part of the decision
Ask every provider how opt-out requests and do-not-call lists are handled on their platform, and how you would keep your own internal list up to date. Whatever the tool offers, someone on your team should own this process. Requirements on consent and automated calls vary by location; review those that apply to you and your recipients, as this guide is not legal advice.
4. Plan for time zones and calling hours
If your contacts are spread across regions, you need a reliable way to call each person at a reasonable local hour. Ask how the platform supports scheduling, and plan to segment lists by time zone if needed. Calling someone at the wrong hour costs goodwill that is hard to win back.
5. Decide what you need to measure
Before looking at dashboards, decide which few numbers will tell you whether calling is working, such as conversations held or follow-ups booked. Then ask each provider which reporting is available on your plan. Do not assume a metric is included because it appears in marketing images; sample screenshots, including ours, show illustrative data.
6. Check how it connects to what you already use
If you already run a phone system or calling software, ask whether it can connect over SIP. Breeze Dialers offers SIP trunking for exactly this case. Also ask how contact lists get in and out of the platform, so you are not stuck retyping data.
7. Questions to ask any provider
Bring these to sales conversations and compare the answers side by side.
- Which dialing setups are available for a team like mine?
- How do I upload, update and remove contacts?
- How are opt-outs and do-not-call requests handled?
- How do I schedule calls around recipient time zones?
- What reporting will I actually see on my account?
- How is pricing structured, and what are the terms?
- How quickly can I get access, and what does registration involve?
