How to set up a voice broadcast, step by step
A voice broadcast is simple in principle: one recorded message, delivered by phone to many people. In practice, the campaigns that work are the ones where the groundwork is done before anyone presses start. A clean list, a clear message and sensible timing matter far more than any single setting.
This guide walks through the general process from planning to review. It is general advice that applies to most broadcasting tools. Exact steps inside your Breeze Dialers account are something we can walk you through once your registration is complete.
General information only, not legal advice. Calling rules differ by location; check those that apply to you and your recipients.
Step 1: Decide what the broadcast is for
Write down, in one sentence, what you want the listener to know or do after hearing the message. "Remind members the meeting moved to Thursday at 6pm" is a good goal. "Tell people about everything we do" is not. A broadcast is short and one-way; a single clear purpose is what makes it useful.
Then ask whether a recorded message is the right format at all. If people will need to ask questions or you need to qualify interest, a live call through an auto dialer may suit better. Our comparison of voice broadcasting and auto dialing covers this choice.
Step 2: Build a list of people who expect to hear from you
Your list is the single biggest factor in whether a broadcast is welcome or resented. Include people who have a relationship with you and have agreed to be contacted by phone, such as customers, members, registrants or volunteers. Keep a note of where and when each contact gave permission.
Rules about recorded and automated calls differ between countries and sometimes regions, and some types of calls need specific prior consent. We cannot give legal advice, so check the requirements that apply to you and to where your recipients live before calling.
- Remove anyone who has previously asked not to be contacted
- Remove duplicates so nobody receives the same call twice
- Check numbers are complete and include the right country code
- Keep a separate do-not-call list and check new uploads against it
Step 3: Write the script before you record
Listeners decide within seconds whether to keep listening, so lead with who you are and why you are calling. Keep the full message short; under about 30 seconds is a sensible target for most reminders and announcements. Read it aloud and time it.
- Open with your name or organisation name
- State the one key piece of information early
- Say what, if anything, the listener should do next
- Explain how to stop receiving these calls
- Repeat any phone number or date slowly
Step 4: Record clearly
Record in a quiet room, close to the microphone, at a natural pace slightly slower than conversation. Phone audio compresses sound, so clarity beats polish. Listen back on an ordinary phone speaker before using it. If a word is easy to mishear, rephrase it rather than hoping it comes through.
Step 5: Pick a time that respects the listener
Call during reasonable daytime hours in the recipient local time zone, not yours. If your list spans several time zones, split it so each group is called at a sensible hour. Avoid early mornings, late evenings and days when your audience is unlikely to welcome a call. Some places set specific permitted calling hours, so confirm what applies.
Step 6: Test with a small group first
Send the broadcast to yourself and a few colleagues before the full list. Check that the audio plays cleanly from the start, the message makes sense to someone hearing it cold, and the opt-out instruction is clear. Fix anything awkward now; it is much cheaper than fixing it after a thousand calls.
Step 7: Launch, then review
Once the test sounds right, schedule and start the campaign. Afterwards, review how calls went using whatever reporting your account provides, and act on the results: remove numbers that are clearly wrong, add opt-out requests to your do-not-call list right away and note what you would change next time.
